What a wrong shipment really costs
Under the eBay Money Back Guarantee, an item that does not match the listing, including the wrong item, is the seller’s responsibility, and the seller pays for return shipping. Add the refund or a second shipment, the time spent sorting it out and the risk of negative feedback, and one mistake can wipe out the profit on several sales.
Why it happens
- Look-alike items stored side by side: same model, different size, color or version.
- Swapped labels when several orders are packed at once.
- Picking from memory instead of from the SKU and location.
- Items moved without a record, so the right shelf holds the wrong thing.
- Multi-quantity and variation orders where the count, size or color is wrong.
A packing routine that catches mistakes
- Pick by SKU and location, not by title. Titles of similar items look alike; SKUs do not.
- One order on the packing table at a time. Finish it completely before starting the next.
- Compare the item with the order: SKU, title, size or color, and quantity.
- Label right after packing, before anything else touches the table.
- Confirm the label belongs to this order by checking the name or tracking number.
- Set aside anything that does not match in a clearly marked spot instead of “fixing it later.”
- For high-value items, take a quick photo of the item and the packed box.
Let scanning do the checking
Checklists work until the packing table gets busy. Barcodes remove the guesswork: with a SKU label on every package, scanning the item confirms it belongs to the order, and scanning the shipping label confirms the label belongs to that order too. A phone camera is enough, and no special scanner is required.
Scanmerce does both checks in its phone app and records who shipped each order and how it was verified. See how it works on our eBay order fulfillment page.
Fix the cause, not just the order
Log every wrong shipment: the order, what was sent, what should have been sent and why. Patterns appear quickly. If the same look-alike items keep getting swapped, store them apart and label them clearly. If mistakes cluster on busy days, slow the packing table down rather than the whole operation.
Close out each shipping day
Before the end of the day, compare orders that were due with orders that shipped. Anything pulled but not shipped goes back to its shelf with its location recorded, or into a clearly labeled holding spot, so it does not get lost or shipped twice tomorrow. Frequently asked questions
Who pays return shipping if I send the wrong item on eBay?
The seller. Under the eBay Money Back Guarantee, when an item does not match the listing, including when the seller sends the wrong item, the seller is responsible for return shipping.
How can a small seller verify shipments without expensive equipment?
Use barcode labels on your packages and a phone app that scans them. Scanning the item and the shipping label against the order catches most wrong-item and wrong-label mistakes without a dedicated scanner.
What should I do when I discover I shipped the wrong item?
Message the buyer quickly, resolve it through eBay’s return or replacement process, and record why it happened so you can change the routine that allowed it.
